The challenge

Understanding the problem.

The Northern Collective operates multiple hospitality venues across Sheffield, including restaurants and bars. Before the management portal was built, the business relied on a patchwork of disconnected systems - Square for POS, Rotaready for staff scheduling, MarketMan for purchasing, Sage for accounting, and spreadsheets for everything else. There was no single view of performance across sites. Managers spent hours each week manually pulling data from different platforms, copying figures into spreadsheets, and trying to reconcile numbers that never quite matched. Staff cost ratios, gross profit margins, and KPI tracking were all done by hand, days after the data was relevant. Communication was equally fragmented. Shift changes, site closures, compliance alerts, and performance updates were handled through a mix of WhatsApp groups, email chains, and verbal handovers - unreliable channels where critical messages were routinely missed or buried. When a venue hit a sales target or a compliance issue needed urgent attention, there was no guaranteed way to reach the right people instantly.
